You booked the room, you wrote the time of arrival, and the front desk has a passport. So far it's traceable. Uncertainty starts when it doesn't turn out to be just looking at it, reading data, taking pictures or putting it in a drawer until you check out. To be registered, you can draw on each entry. That doesn't make it the same.
The short answer is to cooperate in the necessary identification and reception, but the permanent transfer of the original document must be clarified separately. The reading of the data is not the same as preserving the complete document. There is no single reception rule for all countries: Vietnamese registration, Spanish document copying and Hungarian document reading describe a different situation.
Find out what they want first.
Four operations are worth distinguishing. At the time of presentation, the employee compares the document with the guest and given data. When recording data, the information required for a given procedure is recorded; this may be done by hand or reader. A copy of the document will also be created when making a copy. And when you hold back, the original document stays in your quarters.
The first two do not automatically follow the need for the other two. However, from the sight of a camera device, you don't know exactly what's going on in the system. Are you reading data? Do you have a full picture? The phone here is just a tool; the question is, what do you do with it? It is not worth arguing with the type of device when the process should be understood.
I'd like to ask you first: will you return my passport immediately after registration? This is shorter than passing through all the privacy concerns locally and asking for the most important practical difference. If the answer is that it's only the next day or when you leave, then we know what to talk about.
Vietnam: You need the data to register
The UK External Action Information The Vietnamese site on establishment and residence specifically covers accommodation practices. It describes the need for passport data for hotel registration, and many accommodations ask for the original document for administration. It also clearly indicates that it is not a legal requirement for the hotel to keep the passport with you throughout the stay.
That's the difference that needs to be preserved. The announcement of the guest is a real task; the maintenance of the original document for days is not an obvious consequence. The UK brochure is a source for British citizens, not a Hungarian consular resolution, but it explicitly identifies the difference between hotel practice and permanent retention.
If you're asked to be in charge, I'd like to discuss whether I can wait for the records and get them back after. The answer may show that we are talking about a simple work-organisation habit or that they really want to impose a different condition. The custom here is not yet an answer to how long the document stays with them and why.
Spain: guest registration is not a complete copy of your document
The Spanish Data Protection Authority, the AEPD's notice of 17 June 2025 concerns the fulfilment of the guest data register in accordance with Real Decreto 933 / 2021. In its view, it should not be possible to request a complete copy of the identity card or passport: it would mean handling more data than is necessary. The Authority also refers to a data sheet and a visual comparison of personal administration as a possible solution.
This is more accurate than the fact that the receptionist in Spain cannot touch your ID. Identifying and recording the necessary data remains a task. The objection concerns the request for a complete copy to fulfil that registration obligation. Not all technical solutions and all possible data management purposes are one-sentence judgments.
The prior online check-in does not resolve this difference. Just because a upload field is on mandatory doesn't mean the request explains itself. If the system requires a complete document photo, it is worth clarifying the target and the alternative before arriving. The red star on the form is technical adjustment. It's not a legal source.
In Hungary, there is a special rule for reading documents
The Hungarian VIZA system according to its official FAQ, accommodation providers record the required guest details using a document reader. The guidance links failure to present a document for guests aged fourteen and over to refusal of service. Details for children under fourteen may also be recorded based on their representative’s statement.
The VIZA page also includes a mobile-phone document reader solution, with an appropriate system connection. Therefore, it is also not a good general rule that phone readings alone must be irregular. The reading of the required data and a separate complete document photo should also be handled separately here.
The Hungarian example is important before travelling abroad because it is easy to take with us what we are used to at home. The Spanish official communication does not result in a ban on Hungarian reading, and the Hungarian procedure does not imply that all accommodation abroad has to operate in the same way. Front desk looks alike. The rules behind them are less.
If they ask for your passport instead of a deposit
In an examination of the traveller's conversation, the guest asked in advance why the hotel would keep his document until he checked out. According to the report, the answer was a guarantee of possible injury. In another thread, a hotel in Montenegro asked for passports overnight. These are reports of different people; they do not demonstrate the general practice of a country or its legality.
But they're capable of showing that they want to achieve a very different goal with the same object. Registration and a claim settlement security are two separate cases. If the reason is the latter, do not treat it as a registration detail. Ask for the condition in writing and ask for another solution in accordance with the rules of reservation.
I wouldn't offer my passport as a deposit. I don't want to have to talk about when I get my travel document back when I'm clearing a controversial towel or a scratch board. This is a travel decision, not a statement on the law of all countries. I would like to know the terms of the security before booking.
What do you write before arrival?
If the condition of document management is unclear, your question should be specific. Please indicate that you will present the original document necessary for identification and provide the required data. Ask if you will get it back after administration, if a complete document is stored or what procedure is offered if you want to clarify this.
In English, for example, can you ask me how to return the original: "Can you confirm that you will return my Passport immediately after registration?" If a copy is requested, please clarify it separately; yes, you will not tell me if a document is stored.
You don't have to press charges right away. He could be an employee of a hotel who only follows the sequence of steps they've been trained to follow. That doesn't make your question accurate. The usable answer is the one that tells you what's going on with this document, how long and for what purpose. The fact that no one has complained, none of which is responsible.
Keep the booking conditions and answer received in one place. If you're going to see a different request later, there's got to be something to go back to. In particular, I would like to clarify this in advance when you enter a key safe: do not find out in front of the door that you are expecting a document that has not already been mentioned.
What do you say at reception?
In the first round it is enough to indicate that you wait for the recording and then ask for the document back. If they say he has to stay, ask him exactly how long and for what reason. So the vague request might tell us exactly what they expect you to do.
If the employee can't explain the condition, ask for the on-call manager. Coming through a reservation platform, you can also ask for help from its customer service to clarify the conditions assumed. Don't start by saying that on the basis of an Internet advice you can definitely cancel your stay for free: cancellation and reimbursement are a separate question.
If you have already handed over the original and refuse to return it, ask the local authority and the Hungarian representative for help in resolving the situation. The main task here is not to win the debate at the bar. I would not go into a physical conflict for a document that should allow me to travel further.
Where a copy of your document goes matters too
I'd like to check the recipient and the process first. Did the message really come from the official address of the accommodation? Were you in the preliminary briefing? Do you want to tell me why they're asking for it and how it's being treated? I would like to clarify an unexpected message at the previously known contact point instead of automatically delivering it.
The cleaning and watermark shall be part of a suitable copy handling process not more than one already clarified. It does not require an unjustified request and it does not guarantee that the image will later be used by no one else. The arbitrary removal of the necessary data may, however, prevent identification. Therefore, first we need to know what data and procedures are being requested.
Let it be in your own record when, who and which surface you gave data or documents to. If there's a problem, it's a more useful starting point than the memory that you used to fill something out before you arrived. The confirmation was saved in a few rows of still manageable amounts of administration.
If you don't have the original
The copy may help to recall the particulars of the document, but it is not worth assuming that it replaces the original for each subsequent administration. The Hungarian Government passport notice describes a special procedure for lost, stolen or destroyed travel documents, with consular facilities abroad. However, do not automatically report a holding debate as a loss: first tell me exactly what happened.
The two situations may be different. In one of them, you know who has the document, and you're asking for it back. In the other case, the absence of a document should be treated. For the right help, that's the difference. The first question asked at the front desk remains quite simple: when will I get it back after recording?
